Download your eBay transaction report: step by step

eBay has several reports. You get the transaction report in Seller Hub Pro under "Zahlungen" (Payments), Reports; it shows payments, fees and payouts as CSV. The order list for taxes comes from the Reports tab. Both routes and the snags are covered here.

Last updated: 29 October 2026

In brief

  • Transaction report: payments, fees and payouts as CSV, found under Payments, Reports.
  • Orders report: the order list, found in the Reports tab, source "Bestellungen" (Orders), 1 to 90 days.
  • Period: download the transaction report every quarter, because according to eBay the data reaches back only 90 days.
  • For VAT GPT: you upload the order list under "Einnahmen & OSS" (Income & OSS).

Which eBay reports are there?

ReportWhereWhat is in itFormat
Transaction reportPayments, ReportsAccount movements: order no., amounts, fees, payoutsCSV
Orders reportReports tab, Download, source "Bestellungen"Orders, for example "Alle Bestellungen" (all orders)CSV
Settlement report ("Abrechnungsbericht")Payments, Reports, AbrechnungsberichteMonthly overview of account movementsPDF
Invoice ("Rechnung")Payments, Reports, tab RechnungenSeller fees with the taxes shown on themPDF and CSV

What you need each for: the transaction report shows where the money went. The invoice is the document for the fees. The order list supplies the sales. Selling on other marketplaces as well? See downloading the Kaufland booking report.

What this means for you: use the transaction report for the money, the invoice for the fees and the order list for your sales.

Where do I click for the transaction report?

This is how eBay describes the path in Seller Hub Pro:

  1. Go to the "Zahlungen" tab.
  2. Choose "Berichte" (Reports) in the menu on the left.
  3. Choose "Transaktionsbericht" (transaction report) in the download section.
  4. Under "Typ" (type) choose the transaction type, and under "Start" and "Ende" (end) the report period.
  5. Choose "Bericht erstellen" (create report).

As soon as the report is available, eBay sends an email. Menu names can change; the help in your own account is what counts.

What this means for you: open Zahlungen, then Reports in Seller Hub Pro, and wait for eBay's email when the report is ready.

What is in the transaction report?

According to eBay the report contains, among other things, the transaction date, order number, buyer name, payout date and fees. For reconciliation eBay gives these details:

DetailMeaning at eBay
Bestellnr. (order no.)The unique number of the order
Transaktionsbetrag (inkl. Kosten) (transaction amount, incl. costs)The total payment for a transaction before fees or credits are applied
Nettobetrag (net amount)The total payment for a transaction after fees or credits are applied
Verkaufsprovision (final value fee)Fee made up of a variable percentage of the sale amount and a fixed amount per sale
Sonstige Gebühren (other fees)eBay fees apart from the final value fee, for example subscription or advertising fees
Versandetikett (shipping label)Fees or credits for shipping labels and refunds
Transaktionswährung (transaction currency)The currency in which the buyer paid
Wechselkurs (exchange rate)The rate eBay used when transaction and payout currency differ

The columns in detail are explained in eBay report columns explained for your taxes.

What this means for you: the transaction report reconciles payments, fees and payouts, but it does not replace the order list for your sales.

How do I download the order list?

For the order list eBay names a different path:

  1. In Seller Hub Pro go to the Reports tab.
  2. On the left choose "Herunterladen" (Download), then "Bericht herunterladen" (download report).
  3. Under "Quelle" (source) choose "Bestellungen" and under "Typ" for example "Alle Bestellungen".
  4. Choose the period, between 1 and 90 days.
  5. Choose "Herunterladen".

A report you have already created is in the section "Kürzlich heruntergeladen" (recently downloaded); there you select it and click "Herunterladen".

What this means for you: download the order list from the Reports tab, at most 90 days per report.

How do I schedule recurring reports?

In the Reports tab you can have order reports created automatically, at one of these intervals:

  • hourly
  • daily
  • weekly
  • monthly

According to eBay it works like this:

  1. In the Reports tab choose "Planen" (Schedule) on the left and then "Download-Zeiten festlegen" (set download times).
  2. Under "Quelle" choose "Bestellungen" and under "Typ" the report, for example "Alle Bestellungen".
  3. Choose the frequency ("Stündlich", "Täglich", "Wöchentlich" or "Monatlich") and a duration.
  4. Choose an end date or "Kein Enddatum" (no end date) and then "Speichern" (save).

You change or delete scheduled reports in the section "Geplante Berichte" (scheduled reports) with "Ändern" (change).

What this means for you: schedule the order reports once and they arrive on their own.

Example: downloads for the third quarter

The third quarter of 2026 runs from July 1 to September 30 and has 92 days. The order list allows at most 90 days per report, so you download it in two parts:

FileWherePeriodDays
Order list 1Reports tab, Download, source "Bestellungen"July 1 to August 3162
Order list 2Reports tab, Download, source "Bestellungen"September 1 to 3030
Transaction reportPayments, ReportsStart and end of your choice
InvoicesPayments, Reports, tab Rechnungenper month, download: summary or details

You upload the two order lists to VAT GPT. The transaction report and the invoices serve to reconcile fees and payouts; the invoice shows the taxes on your fees.

What this means for you: split a 92-day quarter into two order lists of at most 90 days each.

Which snags are there?

The 90-day period. eBay recommends downloading the transaction report every quarter because the data reaches back only 90 days. If you download once a year, you can have gaps. The orders report also allows at most 90 days per report.

Time zones. The times in the transaction report can differ from those in your records because of different time zones. That causes differences to other reports. Check purchases around a month or quarter change one by one.

Payout date and order date. The transaction report contains the transaction date and the payout date. An order from the end of the month can therefore be paid out in a different month from the one it was ordered in: if something was bought on September 29 and paid out on October 3, both dates are in the report. When VAT is calculated on agreed consideration, the payout does not count but the period in which the supply was made (section 13 (1) no. 1 letter a UStG); if the consideration is received earlier, the period of receipt (letter a sentence 4). When VAT is calculated on consideration received, the period in which the consideration was received counts (letter b).

Several items in one order. For single purchases, purchase and listing are in one row. For multi-item purchases the first row holds the purchase and the following rows the listing details.

Columns are missing. You can adjust the transaction report. Open "Spalteneinstellungen individuell anpassen" (customise column settings), choose transaction, payout, shipping, listing or buyer details and save. The change applies to all future reports; with "Auf Standardeinstellungen zurücksetzen" (reset to default settings) you restore the standard columns.

What this means for you: download every quarter, keep the 90-day limit in mind and check month-end orders one by one.

Where do I find the invoice and the settlement report?

Both are under "Zahlungen", "Berichte". You find the invoice in the tab "Rechnungen", sorted by month; there you choose "Download: Zusammenfassung" (summary, PDF) or "Download: Details" (CSV). If eBay refunds fees or taxes, it issues a "Rechnungskorrektur" (invoice correction), which you download in the same place.

You find the settlement report under "Abrechnungsberichte"; you choose "Herunterladen" and then "Übersicht" (overview) or "Vollständiger Abrechnungsbericht" (full settlement report). According to eBay it contains details of payments eBay processed. It is not an invoice and does not replace the existing reports.

What this means for you: take the invoice for your input VAT and the settlement report for the payout overview.

What do I do with the files?

You calculate VAT from the country, amount and tax rate of each order. How that works is in VAT for eBay sellers and eBay report CSV – VAT, OSS and marketplace rules. The columns of the transaction report are explained in eBay report columns explained for your taxes. For a web shop, see downloading the Shopify tax report.

What this means for you: calculate your VAT from the order list and use the other files to reconcile.

How VAT GPT helps

VAT GPT reads eBay order lists as CSV: VAT GPT recognises from the header that it comes from eBay and sorts each order by country and tax rate. This is how you proceed:

  1. Upload: Open "Einnahmen & OSS", go to the block "CSV-Upload" and drag the order lists onto the field "CSV-Tabellen hier ablegen" (drop your CSV tables here) or click "Dateien auswählen" (choose files); several files go together.
  2. Check: After the upload VAT GPT tells you in a note how many transactions it skipped because they already exist from another file. If VAT GPT could not confidently assign a listing title to a category (food, pet food, books), it books it at the standard VAT rate as a precaution and names up to five such titles for you to check. You check and confirm.
  3. Send: With VAT GPT Pro you send the VAT return and the OSS return onward.
